International parcels. Managed door to door.
Samples & documents
We send product samples, contracts and exhibition materials to overseas recipients. We check the shipment purpose, required paperwork, destination postal code and delivery deadline before selecting the service.
Small parcels & top-ups
We arrange single-carton and multi-parcel deliveries for spare parts, small orders and stock replenishment. We compare each box’s packed dimensions and actual weight to establish the charging basis.
Time-sensitive shipments
We compare suitable express options for urgent cargo, confirm the service’s collection and delivery conditions, and follow shipment progress through customs and final delivery.
Our international express services
We manage express shipments from collection to the recipient’s address. Choose the service scope below; our quotation identifies the carrier product, delivery conditions, customs responsibilities and additional charges.
| Service request | What we check with you | What we arrange |
|---|---|---|
| Documents and product samples | Document or goods classification, sample purpose, value and recipient’s required date | A suitable service option, paperwork list and collection-to-delivery estimate |
| Multi-parcel commercial orders | Dimensions and weight of every carton, product details and destination postal code | Per-piece charging basis, total freight and tracking reference arrangements |
| Urgent spare parts or stock top-ups | Critical quantity, latest useful arrival date and whether the order can be split | An express option compared with air freight where shipment size makes that relevant |
| Additional delivery requirements | Residential address, remote area, signature, receiving hours or appointment | Availability, charges and recipient actions stated before dispatch |
What we do for your shipment
- Arrange pickup from your supplier, factory or nominated collection address.
- Review parcel measurements, packaging information, invoice details and any special cargo requirements.
- Select and book the express service, prepare shipment information and coordinate export formalities.
- Coordinate import-clearance requirements and the agreed duty and tax billing arrangement.
- Follow tracking, manage delivery communication and support exception resolution through final delivery.
Parcel size and weight: check the named service
There is no single maximum size for every international courier. The examples below show why a shipment must be checked against a particular service. These published carrier benchmarks help explain size limits; we confirm the selected carrier product and its current conditions in your quote.
| Published service example | Weight per piece | Size reference |
|---|---|---|
| FedEx International Priority — China | Up to 68 kg | Length up to 274 cm; length + girth up to 330 cm |
| DHL Express Worldwide — China 2026 guide, p. 6 | Up to 70 kg for a non-pallet piece | Published piece dimensions: 120 × 80 × 80 cm |
Measure the final outer package, including bulges and protrusions. For the FedEx example, length + girth = longest side + 2 × width + 2 × height. A 120 × 60 × 50 cm box gives 340 cm, so it exceeds that 330 cm reference even though its longest side is below 274 cm.
Acceptance limits and surcharge thresholds are different. For example, the DHL China 2026 guide lists an oversize trigger above 100 cm on the longest side or 80 cm on the second-longest side. A piece can be within a service’s published size envelope and still attract a handling surcharge. Request the surcharge assessment as well as the acceptance check.
Sources checked 17 October 2026. The DHL guide labels its service table “Status: as of October 2025.” Confirm current origin, destination and product conditions at quotation.
Actual weight is only half the calculation
Worked example: three sample cartons
Each carton measures 60 × 40 × 40 cm and weighs 12 kg. Using the 5,000 divisor published in the DHL China guide, each carton has 19.2 kg of dimensional weight: 60 × 40 × 40 ÷ 5,000. Three identical cartons therefore represent 36 kg actual weight and 57.6 kg dimensional weight before the selected service’s rounding and billing rules.
If protective packaging can safely be redesigned to 50 × 40 × 35 cm, dimensional weight becomes 14 kg per carton, or 42 kg for all three. This is a packaging comparison, not a quoted saving: the applicable rate, rounding and any surcharges still determine the bill. Do not remove necessary cushioning to reduce a measurement.
Calculate differently sized cartons separately. See the dimensional-weight guide before comparing express with commercial air freight.
What to prepare before collection
- Packaging: closed outer cartons with protected edges, restrained contents, labels on each piece and no old routing labels. Photograph the final package and its scale reading.
- Goods information: specific product name, material, use, quantity, country of origin and accurate value. “Sample” describes the purpose; it does not replace a useful product description or justify a zero value.
- Recipient readiness: a reachable contact, complete address and postal code, and any importer information the destination requires.
- Special characteristics: disclose batteries, magnets, liquids, powders, aerosols, food and other controlled products before choosing a service. Acceptance and supporting documents must be assessed for the actual item.
Use the commercial invoice guide and sample-shipping checklist to assemble one consistent shipment record.
What the express quote should separate
Ask for base transport, fuel, oversize or handling charges, remote-area charges, optional services and the billing basis for duties and taxes. Identify any customs processing or advancement fees separately. “Door-to-door” describes the delivery scope; it does not automatically include every destination charge.
For the three-carton example, express is a practical option to assess because the shipment is parcel-sized and goes to one recipient. If the order grows into several pallets, compare a complete air-freight quote with the same delivery address, customs scope and chargeable weight. Start with the freight quote checklist.
VelFreight lists the main express charges and explains foreseeable extras such as remote-area delivery, oversize or overweight handling, special packaging, customs inspection and destination services. Identify the duty/tax payer separately. A changed address, measurement or cargo characteristic can change the quotation; we explain the revised scope and charges before proceeding with the updated plan.
Approved VIP customers may apply to pay after signed delivery receipt. This requires a credit review, agreed credit limit, contract and confirmed payment terms; it is not automatic for every express customer.
Small-parcel pickup and preparation in China
Pickup is available across all cities in China, including Hangzhou, Shanghai, Ningbo, Shenzhen and Guangzhou. These five locations are examples, not a limit on national pickup coverage. We confirm the specific address, appointment, vehicle, loading/unloading conditions and collection charges for each shipment.
For express shipments, the selected parcel channel must accept the specific goods and receiving postcode. A 0.5 kg sample still needs an accurate goods description, value, package measurements and destination postcode. The quoted channel determines acceptance, dimensional-weight rules, minimum charges and final-delivery conditions.
| Stage | What VelFreight can arrange | What you provide or approve |
|---|---|---|
| Supplier collection | Book a collection window and suitable pickup arrangement, including own-truck support where the route and cargo fit. | Full address, contact, loading hours, parcel count, packed weights and dimensions; confirm any access or manual-handling needs. |
| Several orders in one dispatch | Receive and identify supplier parcels, then sort, label, combine or split them to your written instructions. | Order references, SKU and quantity list, labels and whether consolidation must wait for all suppliers. |
| Parcel preparation | Arrange carton reinforcement, cushioning or repacking where required, and record the finished package for the selected express channel. | Product fragility and handling instructions; approval of the packing method, materials and additional fee. |
| Carrier handover | Reconcile the parcel list with the commercial documents and confirm the accepted channel and shipment reference. | Correct consignee/importer information, declared contents and values, and applicable product or battery documents. |
| Address delivery | Coordinate tracking, destination document requests and delivery exceptions within the agreed service. | Reachable recipient, correct postcode, receiving availability and the agreed payer of import or delivery-related charges. |
Combining boxes can change chargeable weight, longest-side or girth limits, customs documents and handling fees. We check the finished shipment after any warehouse work instead of carrying an earlier parcel estimate forward unchanged. See supplier consolidation and warehouse and packing support.
Express acceptance for batteries and special goods
Battery-containing products and battery shipments can be submitted for acceptance review. Identify the battery chemistry, model, rating, quantity and whether it is installed, packed with equipment or separate. The required documents may include a UN 38.3 test summary, SDS/MSDS and other records applicable to the goods and route; one document is not a universal approval to ship.
Liquids, powders and other special goods are assessed by the carrier and route. Share the actual product identity, composition, packaging and technical documents before requesting a general-cargo price. Goods prohibited by law or the carrier, or special cargo without the required compliant documents and packaging, are not accepted.
An accepted shipment must still match the reviewed configuration at handover. If the supplier substitutes a battery, changes the product or adds accessories, send the updated details before collection. Use the battery and special-cargo service for the review inputs.
A clear path from start to finish.

- Any additional product or import documents required for the cargo and destination
Before you ship.
Why do you need both weight and dimensions?
Express services typically compare actual weight with volumetric weight to determine chargeable weight. The calculation method, rounding rules and minimum charges depend on the selected service and should be confirmed in the quote.
Can I send batteries, liquids or powders?
We review battery, liquid and powder shipments against the actual product, packaging, destination and available carrier services. Send the composition or battery information and supporting documents with your enquiry so we can confirm an eligible shipping arrangement before collection.
Are destination duties and taxes included?
We confirm who pays freight, destination duties and taxes, clearance fees and any additional charges in the quotation. We can coordinate the agreed billing arrangement, but door-to-door delivery does not automatically mean every destination charge is included.
Can you guarantee a specific delivery date?
Share your target date so suitable options can be assessed. Estimated transit times are planning guidance; arrival also depends on flights, customs clearance, recipient cooperation and final delivery. Any specific service commitment must be confirmed separately.
